1. Create guidelines for the workforce

Company employees are already using AI systems to carry out their professional tasks. This may be done without the necessary knowledge (protection of sensitive data, GDPR, etc.). It is therefore important to organise use of these systems.

2. Realise quick wins

For some activities, time savings of up to 40 % are already possible today. These ‘low hanging fruits’ can be picked after brief training sessions.

3. Building up AI expertise

AI knowledge will be of strategic importance for every organisation. The development of knowledge about AI systems and their application should therefore begin as soon as possible.

4. Developing an AI strategy

The AI strategy must first ask and then answer crucial questions for the future of the company, taking into account the legal framework and the security of sensitive data.

Guidelines

Guidelines on the use (or non-use) of AI systems should be developed and communicated as quickly as possible.

Prohibitions

A prohibition on the use is possible under labour law, both in general and for certain areas. However, due to the expected increase in quality and productivity, companies should encourage the use of AI systems. For this reason alone, a general ban does not make sense. It prevents innovation and could soon lead to demotivation among the workforce. It is also difficult to control.

In some sensitive areas, however, a prohibition may be right and important and will probably also meet with acceptance. These areas need to be identified and communicated in detail. This involves particularly sensitive data and information, company secrets, etc.

Licenses

The use of OpenAI’s ChatGPT in the basic version or ChatGPT Plus cannot be in the interests of the company for reasons of data protection. This also applies to the basic or free versions of other manufacturers. The ChatGPT team licence is currently a good choice for the general use of generative AI. This licence costs €30 per person.

If a company/organisation uses MS Azure, most OpenAI AI tools can also be made available to the workforce via it.

Communication

Guidelines should established which regulate clearly and in detail in which form, to what extent, in which areas and with which instruments the use of AI systems is desired/authorised. These guidelines should be communicated both in writing and in the form of short training sessions/introductions.

Mandatory labelling

It is essential for the company to know which content was generated with AI systems. Therefore, all content created by AI systems must be labelled as such. All content revised by AI systems must also be labelled as such. This must be done in a way that makes it clear to the company in the future what has been created by AI systems – and what has not.

Quick Wins

We suggest the following procedure:

Communication to the entire workforce: Anyone who wants to use/test AI systems should register and will then be issued with a licence. AI systems may not be used without or outside of this licence. This ensures that the company always knows who is using AI.

The next step is training. In our experience, a three-hour training course is sufficient:

  • Access to the AI system, explanation of the system
  • Rules of conduct: Data protection etc.
  • Who can see what I communicate with the system?
  • Tips and tricks for use, examples
  • Success through better prompting of the system

Anyone using the AI system should report, e.g. monthly::

  • What have I done with AI?
  • Which of these was particularly successful?
  • What didn’t work so well?
  • What would I definitely recommend?
  • My ideas for the future use of AI in the company.

These simple measures and small investments can lead to significant increases in quality and productivity in some areas of the company (depending on the sector and specific activity). Some of these measures are also the first step towards building up AI expertise.

In our experience, it is particularly promising to give interested company employees the space and time to experiment with the AI systems. For some, this sparks a curiosity that virtually guarantees the discovery of new application possibilities. Nobody is better placed to discover and develop AI applications for the company than its own employees!

So it’s quite simple: provide licences, train them, let them experiment!

AI expertise

Building up knowledge about AI and AI applications should be started as soon as possible. On the one hand, the steps outlined under »Quick Wins« make this possible. On the other hand, this also requires a structured approach:

A separate AI working group or department should be set up, with the following company departments involved:

  • Human resources (implementation, training)
  • IT (installation, administration)
  • Legal department (ensuring legal compliance)
  • Management (due to the strategic importance)
  • Marketing (because of the quick wins that can be achieved there)

The task of the working group or department is to build up, bundle and distribute AI knowledge within the company. It needs a centralised overview of AI activities throughout the company, especially if AI is also used outside of generative AI (to which this concept is limited), e.g. in technology, production or product development.

Another task is to compile or collect the necessary information for the subsequent strategy process.

AI strategy

Change, transformation, disruption?

The first step is to assess the extent to which both the industry as a whole and the company itself, and in particular the individual business units, are affected by AI systems. This assessment must then be continuously adapted to the technological developments in AI.

The AI strategy must answer the following questions for the future, taking into account the legal framework and the security of sensitive data:

  • What ethical guidelines underpin our AI systems?
  • Which activities will continue to be carried out by people?
  • Which by humans with AI support?
  • Which by AI – with human control?
  • Which specialists do we need for this?
  • What qualifications do they need?
  • If we can achieve productivity increases as outlined in 1.5 – do we want to increase output or reduce the workforce?
  • How can the imminent revolution in learning be integrated?
  • When does all this start?

    Some of our suggestions/considerations:

    • Start quickly, but bring about change carefully, there is plenty of time.
    • But: Observe the deadlines in the AI Act! (See section 1.8.3.2.) For some AI systems, it certainly makes sense to have them implemented by June 2026.
    • Be careful with large AI investments: What is only possible today with a considerable investment of resources may be offered in a year’s time as a cost-effective standard application that is also GDPR-compliant.
    • Get the workers’ council on board as early as possible in the process. This is mandatory for some measures anyway (see section 1.8.1.2), but certainly helpful for others. It is also about reducing fears.
    • Create space and time for employees to experiment with AI as soon as possible. Accompany the deployment, draw conclusions – develop/adapt strategy.
    • Openly communicate the use of AI systems – also as an employer branding measure.
    • Many of the decisions to be made require both legal and technical expertise – and above all a combination of the two.
